Managing Accounts

After connecting a platform, you can add multiple ad accounts for that platform and switch between them as needed. This is essential for agencies managing multiple clients, businesses with multiple brands, or anyone who needs to work across different ad accounts.

Multiple Accounts Per Platform

Whathead supports multiple ad accounts for each connected platform. This means you can:
  • Manage campaigns for multiple clients from one workspace
  • Work with separate accounts for different brands or business units
  • Switch between production and test accounts
  • Access agency accounts and client accounts simultaneously
Each platform connection can have multiple ad accounts associated with it. You select which account to use when building campaigns, and you can switch accounts at any time.
Add all the ad accounts you manage during initial setup. This makes it faster to start new campaigns without interrupting your workflow to add accounts later.

Adding Ad Accounts

After connecting a platform, you can add more ad accounts for that platform without reconnecting.

Open integrations settings

Navigate to Integrations in Whathead.

Find your connected platform

Locate the platform you want to add accounts to. It should show as “Connected” with a green indicator.

Click Add Account

Click the Add Account button next to the platform name.

Select ad account

A dropdown appears showing all ad accounts you have access to through your platform connection. Select the account you want to add.

Confirm addition

Click Add to include the account. The account now appears in your account list for that platform.
The accounts available in the dropdown are determined by your platform login credentials. If you don’t see an account you need, verify that your platform login has access to that account on the platform itself.

Platform-Specific Account Access

Meta Account AccessThe ad accounts you can add depend on your Facebook Business Manager access. You’ll see:
  • All ad accounts in the Business Manager you connected
  • Ad accounts where you have admin or advertiser permissions
  • Both Facebook and Instagram ad accounts (Instagram is managed through Business Manager)
If you need access to accounts in a different Business Manager, you’ll need to disconnect and reconnect with that Business Manager.

Switching Between Accounts

You can switch between ad accounts at any time while working in Whathead. The active account determines which account campaigns are published to and which media library you access.

Switching Accounts in Campaign Builder

When you create a campaign node on the canvas, you select which platform and ad account to use:

Create or select a campaign node

Click the + button to create a new campaign node, or select an existing campaign node on the canvas.

Open campaign settings

The campaign settings panel appears on the right side of the screen.

Select platform

Choose the platform from the Platform dropdown (Meta, TikTok, Snapchat, or Google).

Select ad account

Choose the ad account from the Ad Account dropdown. This dropdown shows all accounts you’ve added for the selected platform.

Continue building

The campaign node is now associated with that platform and ad account. When you publish, it will go to the selected account.
Each campaign node can use a different ad account, even for the same platform. This lets you build campaigns for multiple clients on the same canvas.

Switching Accounts for Existing Campaigns

If you’ve already built a campaign and want to change which ad account it publishes to:

Select the campaign node

Click on the campaign node you want to modify.

Open campaign settings

The campaign settings panel appears on the right.

Change ad account

Select a different account from the Ad Account dropdown.

Publish to new account

When you publish, the campaign will be created in the newly selected account.
Changing the ad account for a campaign that was already published creates a new campaign in the new account. It does not move the existing campaign. The original campaign remains in the original account.

Default Account Selection

When you connect a platform, you select a default ad account. This account is automatically selected when you create new campaign nodes for that platform, saving you time. To change your default account:

Go to integrations settings

Navigate to Integrations.

Find the platform

Locate the platform whose default account you want to change.

Click Set Default

Click the Set Default button next to the account you want to use as the default.

Confirm

The selected account is now the default. New campaign nodes for this platform will automatically use this account.
Set your most frequently used account as the default to minimize the number of times you need to manually select an account.

Account Switching and Media Libraries

When you switch ad accounts, you also switch which media library you access. Each ad account has its own media library with its own uploaded assets.

Accessing Media by Account

When you configure ad creative and browse the media library:
  1. The media library shows assets from the ad account selected for that campaign
  2. If you switch the campaign to a different ad account, the media library updates to show that account’s assets
  3. Assets uploaded to one account are not automatically available in other accounts

Cross-Account Asset Usage

If you want to use assets from one account in a campaign for a different account:

Download the asset

Download the asset from the first account’s media library to your local machine.

Switch to target account

Change the campaign’s ad account to the account where you want to publish.

Upload to new account

Upload the asset to the new account’s media library from your local machine.

Select the asset

The asset is now available in the new account’s media library for use in your campaign.
Use Whathead’s bulk media upload feature to upload the same assets to multiple ad accounts simultaneously, saving time when you need to use the same creative across multiple clients or brands.

Disconnecting Platforms

You can disconnect a platform at any time from the Integrations page. Understanding what happens when you disconnect helps you avoid unexpected issues.

What Happens When You Disconnect

When you disconnect a platform:
Immediate Effects:
  • You cannot publish campaigns for that platform until you reconnect
  • You cannot fetch existing campaigns from that platform
  • You cannot access that platform’s media library
  • All ad accounts for that platform are disconnected
  • Campaign nodes for that platform remain on your canvas but cannot be published
What Stays the Same:
  • Your campaigns on the platform continue running normally
  • Campaign structures on your canvas are preserved
  • Your canvas work is saved and not affected
  • You can still edit campaign settings on the canvas (but not publish them)

Disconnecting vs. Removing Accounts

There’s a difference between disconnecting a platform entirely and removing individual ad accounts: Disconnecting a Platform:
  • Removes the entire platform connection
  • Disconnects all ad accounts for that platform
  • Requires full reconnection to restore access
  • Use when you no longer need access to any accounts on that platform
Removing an Ad Account:
  • Removes one specific ad account from your list
  • Other accounts for that platform remain connected
  • Does not require reconnection—just re-add the account if needed
  • Use when you no longer manage a specific client or brand
To remove a single ad account without disconnecting the platform:

Go to integrations settings

Navigate to Integrations.

Find the platform

Locate the platform containing the account you want to remove.

Click Remove

Click the Remove button next to the specific ad account you want to remove.

Confirm removal

Confirm that you want to remove the account. It’s removed from your list but the platform connection remains active.

Reconnecting After Disconnection

If you disconnect a platform and later need to reconnect:

Go to integrations settings

Navigate to Integrations.

Click Connect

Click the Connect button next to the disconnected platform.

Complete authorization

Follow the authorization flow to reconnect the platform.

Re-add accounts

After reconnecting, add the ad accounts you want to work with. Your previous account list is not automatically restored.

Resume publishing

You can now publish campaigns for that platform again.
When you reconnect, your canvas work is preserved. Campaign nodes for that platform can be published again once you’ve reconnected and selected ad accounts.

Managing Campaigns with Active Canvas Work

If you have campaigns on the canvas for a platform and you disconnect that platform, here’s what you need to know:

Before Disconnecting

Check for unpublished work:
  • Review your canvas for any unpublished campaigns for the platform you’re about to disconnect
  • Publish any campaigns you want to go live before disconnecting
  • Save any work in progress—it will remain on the canvas but cannot be published until you reconnect

After Disconnecting

If you disconnected with campaigns on the canvas:
  1. Unpublished campaigns: Remain on the canvas but show a “Platform not connected” warning. You cannot publish them until you reconnect.
  2. Published campaigns: Remain on the canvas and show their published status. You cannot update them until you reconnect, but they continue running on the platform.
  3. Fetched campaigns: Remain on the canvas with all their settings. You cannot republish changes until you reconnect.
If you need to temporarily disconnect a platform (e.g., to switch to a different Business Manager), publish all pending work first to avoid delays.

Best Practices for Managing Multiple Accounts

Organize by Client or Brand

When managing multiple accounts, use clear naming conventions:
  • Name campaigns with client or brand prefixes (e.g., “ClientA_Summer_Campaign”)
  • Use canvas grouping features to visually separate campaigns by account
  • Set default accounts based on which client you work with most frequently

Verify Account Selection Before Publishing

Before clicking Publish, always verify:

Check campaign node settings

Select each campaign node and verify the Ad Account field shows the correct account.

Review publish preview

Use the publish preview to see which account each campaign will be published to.

Confirm and publish

Once you’ve verified all accounts are correct, proceed with publishing.
Publishing to the wrong ad account creates campaigns in that account. You cannot “move” campaigns between accounts after publishing—you would need to delete and recreate them.

Use Bulk Media Upload for Shared Assets

If you use the same creative assets across multiple ad accounts:
  1. Collect all assets you need to upload
  2. Use Whathead’s bulk media upload feature to upload to all accounts simultaneously
  3. This ensures consistent assets across accounts and saves time

Set Up Cross-Account Transfers Carefully

When transferring campaigns between ad accounts:
  1. Verify the target account has the necessary media assets
  2. Check that the target account supports the campaign objectives and targeting options
  3. Review platform-specific limitations for cross-account transfers

Troubleshooting Account Management

Cause: Your platform login doesn’t have access to that ad account, or the account isn’t properly linked to your Business Manager.Resolution:
  1. Log in to the platform directly and verify you can see the account there
  2. For Meta: Ensure the account is in the Business Manager you connected to Whathead
  3. For TikTok/Snapchat/Google: Verify your login has admin or advertiser access to the account
  4. If you still don’t see it, you may need to disconnect and reconnect with different credentials
  5. Contact your platform administrator if you need access granted
Cause: You selected the wrong ad account before publishing, or you didn’t verify the account selection.Resolution:
  1. The campaign is now live in the wrong account—you cannot move it
  2. Go to the platform and pause or delete the campaign in the wrong account
  3. In Whathead, change the campaign node’s ad account to the correct account
  4. Publish again to create the campaign in the correct account
  5. Going forward, always verify account selection before publishing
Cause: You may be manually changing the default, or another user with access to your Whathead account is changing it.Resolution:
  1. Navigate to Integrations
  2. Set your preferred default account
  3. If you share your Whathead account with others, coordinate on which account should be the default
  4. Consider using manual account selection for each campaign instead of relying on the default
Cause: You removed an ad account from your list and now need access to it again.Resolution:
  1. Navigate to Integrations
  2. Find the platform and click Add Account
  3. Select the account from the dropdown
  4. Click Add to restore it to your list
  5. The account is immediately available for use
Cause: Each ad account has its own media library. Assets uploaded to one account are not available in other accounts.Resolution:
  1. Download the asset from the first account’s media library
  2. Switch to the campaign using the target account
  3. Upload the asset to the target account’s media library
  4. Alternatively, use bulk media upload to upload to multiple accounts at once
Cause: You disconnected a platform while you have unpublished campaigns for that platform on the canvas.Resolution:
  1. Your canvas work is preserved—nothing is lost
  2. You cannot publish those campaigns until you reconnect
  3. Reconnect the platform from the Integrations page
  4. Re-add the ad accounts you need
  5. You can now publish the campaigns
Cause: You want to access the same ad account from different Whathead workspaces or team accounts.Resolution: Yes, you can connect the same ad account to multiple Whathead workspaces. Each workspace has its own platform connections and can independently connect to the same ad accounts. Changes made in one workspace do not affect the other workspace’s canvas, but both workspaces can publish to the same ad account on the platform.
