Media Library

The media library gives you access to all creative assets you’ve uploaded to your connected platforms. When creating ads in Whathead, you browse and select images and videos from each platform’s media library. This lets you reuse existing assets without re-uploading them every time you create a new ad.

How Media Libraries Work

Each advertising platform maintains its own media library where your uploaded images and videos are stored. When you connect a platform to Whathead, you gain access to that platform’s media library through the Whathead interface.

Platform Media Libraries

Your assets are stored separately in each platform:
  • Meta Media Library: Images and videos uploaded to your Meta ad account
  • TikTok Media Library: Images and videos uploaded to your TikTok ad account
  • Snapchat Media Library: Images and videos uploaded to your Snapchat ad account
  • Google Media Library: Images and videos uploaded to your Google Ads account
Assets uploaded to one platform are not automatically available on other platforms. If you need the same asset on multiple platforms, use Bulk Media Upload to upload to all platforms at once.

Accessing Media Libraries

You access media libraries when creating or editing ads in the Campaign Builder.

Opening the Media Library

Create or edit an ad node

Double-click an ad node on the canvas to open its configuration form.

Navigate to creative section

Scroll to the Creative Assets section of the ad form.

Click Select from Library

Click the Select from Library button to open the media library browser.

Browse available assets

The media library opens showing all images and videos available for the selected platform.
The media library automatically shows assets for the platform you’re working with. If you’re creating a Meta ad, you see Meta’s media library. If you’re creating a TikTok ad, you see TikTok’s media library.

Browsing Assets

The media library browser displays your assets as thumbnails with preview and selection options.

Library View Options

Grid view: See assets as thumbnails in a grid layout. This is the default view and works well for quickly scanning many assets. List view: See assets in a list with filename, dimensions, file size, and upload date. This view is useful when you need detailed information about each asset. Preview mode: Click any asset to see a larger preview with full details including:
  • Filename
  • Dimensions (width x height)
  • File size
  • File format
  • Upload date
  • Platform-specific metadata
Preview mode lets you see assets at full size before selecting them. This helps you verify you’re choosing the right creative for your ad.

Sorting Assets

Sort your media library by:
  • Upload date: Newest or oldest first
  • Filename: Alphabetical order
  • File size: Largest or smallest first
  • Dimensions: Highest or lowest resolution first
Sort by upload date (newest first) to quickly find assets you just uploaded. Sort by filename if you use consistent naming conventions for your assets.

Filtering Assets

Filter the media library to show only specific types of assets: By format:
  • Images only (JPG, PNG, GIF)
  • Videos only (MP4, MOV, AVI)
  • All formats
By dimensions:
  • Square (1:1 ratio)
  • Vertical (9:16 ratio)
  • Horizontal (16:9 ratio)
  • Custom dimensions
By upload date:
  • Last 7 days
  • Last 30 days
  • Last 90 days
  • All time
Use dimension filters to quickly find assets that match your ad format. For example, filter for vertical (9:16) assets when creating TikTok or Snapchat ads.

Searching for Assets

Use the search bar to find specific assets by filename or metadata.

Search Tips

Search by filename: Type part of the filename to find matching assets. Search is case-insensitive and matches partial names. Search by keywords: If you include keywords in filenames (e.g., “summer-sale-beach-photo”), you can search for those keywords to find related assets. Search by date: Type a date (e.g., “2024-01”) to find assets uploaded in that time period.
Use descriptive filenames when uploading assets to make them easier to find later. Include campaign names, product names, or seasonal keywords in filenames.

Selecting Assets

Once you find the assets you need, select them for your ad.

Single Asset Selection

For single image or video ads:

Browse or search

Find the asset you want to use in your ad.

Click to select

Click the asset thumbnail to select it. A checkmark appears on selected assets.

Confirm selection

Click Use Selected to add the asset to your ad configuration.
The selected asset appears in your ad form and will be used when you publish the ad.

Multiple Asset Selection

For carousel ads or ads with multiple creative variations:

Enable multi-select

Click the Select Multiple checkbox at the top of the media library.

Click assets to select

Click each asset you want to include. Selected assets show checkmarks.

Review selection count

The selection counter shows how many assets you’ve selected (e.g., “5 assets selected”).

Confirm selection

Click Use Selected to add all selected assets to your ad configuration.
Different ad formats support different numbers of assets. Carousel ads typically support 2-10 images or videos. Check platform-specific requirements for your ad format.

Platform-Specific Media Library Features

Each platform’s media library has unique features and behaviors.

Meta Media Library Features

Asset organization: Meta organizes assets by ad account. If you manage multiple Meta ad accounts, select the account first to see its media library.Asset tags: Meta supports tagging assets with custom labels. Use tags to organize assets by campaign, product line, or season.Asset details: Meta shows detailed performance data for assets that have been used in published ads, including impressions and engagement metrics.Supported formats: JPG, PNG, GIF for images; MP4, MOV for videos.
Use Meta’s asset tags to organize your media library. Tag assets with campaign names or product categories to find them quickly later.

Uploading New Assets

If you don’t find the asset you need in the media library, you can upload new assets directly from the ad creation form.

Upload During Ad Creation

Click Upload New

In the Creative Assets section of the ad form, click Upload New instead of Select from Library.

Select files

Choose one or more image or video files from your computer.

Validation

Whathead validates files against platform requirements (format, size, dimensions). Invalid files are flagged with error messages.

Upload

Valid files upload to the platform’s media library and are automatically selected for your ad.
Assets uploaded during ad creation are added to the platform’s media library and can be reused in future ads. Learn more about upload requirements in Upload Requirements.

Managing Media Library Assets

You can manage assets in your media library through Whathead or directly in platform portals.

Deleting Assets

To remove assets from a platform’s media library:
  1. Open the media library browser
  2. Right-click the asset you want to delete
  3. Choose Delete from the context menu
  4. Confirm deletion
Deleting an asset from the media library removes it permanently. If the asset is used in active ads, those ads will stop serving. Delete assets only if you’re certain they’re no longer needed.

Renaming Assets

Some platforms support renaming assets:
  1. Right-click the asset in the media library
  2. Choose Rename
  3. Enter a new filename
  4. Save changes
Use descriptive names that include campaign names, product names, or dates. This makes assets easier to find later when your library grows.

Organizing Assets

Different platforms offer different organization options:
  • Meta: Use tags to categorize assets
  • TikTok: Organize by upload date or format
  • Snapchat: Create collections (folders) to group related assets
  • Google: Organize by asset type (Images, Videos, Logos)

Media Library Best Practices

Name files descriptively before uploading: Include campaign names, product names, or keywords in filenames. This makes assets much easier to find later when your library contains hundreds of files.
Delete unused assets regularly: Remove old or unused assets to keep your media library manageable. Large libraries become difficult to navigate and slow to load.
Use consistent naming conventions: Establish a naming pattern (e.g., “campaign-product-format-version”) and use it for all assets. Consistency makes searching and filtering more effective.
Organize assets by campaign or product: Use platform-specific organization features (tags, collections, folders) to group related assets together.
Preview before selecting: Always preview assets at full size before selecting them for ads. Thumbnails can be misleading, especially for text-heavy images.
Reuse high-performing assets: Check asset performance data (available on Meta and Google) and reuse assets that have performed well in previous campaigns.

Yes. Right-click an asset in the media library and choose Download to save it to your computer. This is useful for backing up assets or using them outside of advertising platforms.
Some platforms take a few minutes to process uploaded assets. If you don’t see a recently uploaded asset, wait 5-10 minutes and refresh the media library. If the asset still doesn’t appear, check for upload errors in the platform portal.
